How to write a factory requirement that gets matched

A vague brief gets vague replies. Seven lines, written the same way every time, let an owner decide in a minute whether their building fits.

The short answer

A factory or warehouse requirement gets matched fastest when it states seven things plainly: whether the client wants to buy or rent, the property type, the locations they will accept, the size range, the budget or rental ceiling, the timeline, and the must-haves such as power supply, eave height and loading. Leave the client's name out. Reconfirm the brief every two weeks so owners know it is still live.

14daysBetween reconfirmations

Why most requirements go unanswered

An owner cannot tell whether their building is relevant.

“Client looking for factory in Klang, urgent.”

  • Replying means a phone call for the basics, so most owners do not. The fix is detail, not urgency.

The seven lines

Same order, every time.

The seven linesExample: a strong brief
  1. Buy or rentSay which they prefer, if both.Rent
  2. Property typeFactory type, warehouse or land.Warehouse
  3. Locations acceptedAreas, not the state.Port Klang, Klang or Puncak Alam
  4. Size rangeA range; land and built-up apart.20,000 to 30,000 sq ft built-up
  5. Budget or rental ceilingA number, never “market price”.Ceiling RM 1.80 per sq ft
  6. TimelineWhen they must be operating.Move in within three months
  7. Must-havesDeal-breakers only: power, eave height, crane, docks, licence, workers' housing.Takes 40-foot containers; at least 2,000 sq ft of office

Power: give amps and phases (factory power). Tenure or industry class: see freehold or leasehold and light, medium or heavy industry.

Must-haves are only the things that would rule a building out.

A weak brief and a strong one

The second version is barely longer.

Weak

“Looking for warehouse Klang area, big size, good price, urgent. PM me.”

Strong

“Rent. Warehouse. Port Klang, Klang or Puncak Alam. 20,000 to 30,000 sq ft built-up. Ceiling RM 1.80 per sq ft. Move in within three months. Must take 40-foot containers and have at least 2,000 sq ft of office.”

Reading the strong one:

A fit: worth replying

  • A 25,000 sq ft warehouse in Puncak Alam

Not a fit: no time wasted

  • 8,000 sq ft in Kapar

Keeping your client confidential

Nothing in the seven lines identifies the client, and nothing should.

Your seven lines

The reply comes back to you
  • On our request board, no name, agency or client appears.
  • Co-broke terms are agreed in writing before any introduction.

Keep it fresh

A requirement has a shelf life. Clients sign elsewhere, budgets move, projects pause.

Common questions

Will my client's name appear on the request board?

No. A brief is published under a request number with the requirement details only. The client's name, your name and your agency do not appear.

What if my client's budget is confidential?

Give a range or a ceiling rather than an exact figure. A brief with no budget at all attracts few replies, because owners cannot tell whether their asking price is in reach.

How long does a requirement stay on the board?

It stays while it is live. We ask for a reconfirmation every 14 days. If we do not hear back, the brief comes down so the board stays current.

Can buyers and tenants post directly, without an agent?

Yes. The same seven lines apply. Use the form on the requests page and it will open WhatsApp with the brief already written.
